Choosing the best software solution from multiple options

Well considered requirements facilitate the provider selection.

Client

Mission

Firstly, our task was to consult the client on the decision whether to build an own solution for the digital building access and the living quarter platform. Secondly, the client was looking for a market overview of existing solutions and an approach to identify the most suitable provider.

Solution

In order to facilitate the make or buy decision, we created an estimate with expected costs and resources needed comparing a solution individually developed for the client versus using a solution existing on the market. In addition we elaborated an extensive requirements list together with the client as a basis to evaluate the different solutions.

For an overview of existing options, we carried out a detailed market analysis and summarized the result for the client including a recommendation of providers with the best fit for the case at hand. For the most interesting providers and software solutions we conducted an in-depth analysis based on the criteria list defined beforehand and summarized the outcomes in a report.

Some of the criteria we checked include:

  • Provider company details
  • Data protection and security
  • Hosting and infrastructure
  • Technology and interfaces
  • Functionalities for end users and administrators
  • Development roadmap and further plans

Challenge

The customer has built new and modern multi-generational living quarters. Within the various parts of the building, residents and external users should have the opportunity to share and book rooms for different activities and occasions. This required a digital solution for booking and access to the rooms. In the future, this solution should be further developed into a holistic digital platform for all services and communication around the living quarter. The client didn’t have experience with building and maintaining digital solutions for this kind of use case and was looking for knowledgeable support.

  • In the end the client was able to make an informed decision about the solution to use for their digital building access management and their interactive living quarters platform.
  • Based on the decision of using an existing solution that was already well established in the market and had a vast array of functionalities required by the client, the requirements offered helpful guidance to negotiate with the solution provider and agree on deliverables.
  • The client felt secure that all relevant aspects were considered for their decision for a provider and solution both in the short- and long-run.
